Payroll & Billing Admin/Compliance Coordinator

Objective:

The Payroll & Billing Admin/Compliance Coordinator is responsible for supporting day to day operations with compliance of Home Instead Standards and State and Federal Labor Laws. This position will provide support on best practice methodologies, processes, and accuracy with employment and client files. This position will provide administrative support for the Business Office including but not limited to billing and payroll processing.

Primary Responsibilities:

· Reflect the core values of QC Senior Care, Inc., (d.b.a. an independently owned and operated Home Instead Senior Care Franchise).

· Assist with preparation and processing of invoices for clients, ensuring timely and accurate billing. Assist with accounts receivable (AR) and accounts payable (AP) tasks

· Assist with accurately processing payrolls for all employees, including hourly, salaried, and commissioned staff. Assist with maintaining accurate payroll records and documentation.

· Assist with Benefits as needed

· Assist with Care Professional unemployment claims, workers comp claims

· Data Entry and Record Keeping: Maintain accurate employee records, including time sheets, personnel files, and employment contracts. Enter payroll data into the HRIS system.

· Audit on a regular basis all client and employee digital files to ensure accuracy

· Conduct Quarterly Audit of Client Files per Illinois licensure

· Conduct four reviews per year of Employment Files and records per Illinois licensure.

· Audit activity required to maintain our licensure within the software system

· Audit yearly Care Professional reviews/supervisory visits following Home Instead Senior Care Standards

· Assist with HIPAA Compliance as a safety officer

· Assist with yearly process review per Home Instead Senior Care Standards

· Update Business Manager of any Compliance concerns, problems, or issues within the business in a timely manner

· Adhere to all company policies, procedures and business ethics codes and ensures they are communicated and implemented within the team

Secondary Responsibilities:

· Assist with conducting reference checks, criminal background and motor vehicle check and drug screens on all Care Professionals following Home Instead Senior Care standards as needed.

· Perform any and all other functions deemed necessary

Critical Numbers:

· 100% Accuracy of Client & Caregiver files in accordance with Home Instead Senior Care Standards and Local, State, and Federal Laws

· Monthly audit/compliance reports completed for all franchises and submitted to Business Manager
Qualifications:

  • Minimum of 1 years of experience in payroll processing and compliance OR Associate's Degree.
  • Proficiency in payroll software (e.g., ADP, Paychex), accounting software (e.g., QuickBooks, Sage), and Microsoft Office Suite.
  • Strong analytical skills to identify and resolve payroll and compliance issues.
  • Excellent problem-solving skills to address challenges related to payroll processing and compliance.
  • Proven ability to accurately handle complex financial data and maintain meticulous records.
  • Strong attention to detail and accuracy.
